Description of the System

Outbound zone system software opens the door to start unloading at Your reserved time. This way waiting time can be decreased.
  • should book a date before delivery.
  • Knowing the correct purchase order order number and providing it.
  • It is beyond possibility to modify the date of loading retroactively.
  • The registration number of the hauler vehicle (tractor and the tow) must always be correct and topical in the registration!
  • Inasmuch as the hauler vehicle carries more purchase order numbers than you must register separately the ones that belong to a given registration number. Our system contains this opportunity.
  • The warehouse shall always provide the correct purchase order number for outbound which details shall be uploaded automatically to the appropriate fields during the registration process.
  • When you type in the sequence of digits before the slash our system will list the lines to choose from.

    In example when you only type this: 1234567 our system shall automatically recommend and list the lines that can be chosen within this purchase order number:
    1234567/00010 Paprika powder 150kg
    1234567/00020 Tomato powder 20kg

    This way you can easily decide which line or lines of the purchase order number you would like to carry.
  • If any firm had already fixed an appointment for a purchase order number then your registration is not current. In this case during the registration process the System will advise You - after providing the purchase number - that somebody had already registered an appointment in this manner You can not have those. Our System shall announce which person or firm to contact to.
  • Step by step

        1. Login to the system!
        2. Let’s make an appointment! (Time request) Very important! Please enter the details of registration correctly!
        3. You must pass the credentials of the reservation to the driver or if you shall not meet ,please send it via email to us.
        4. You can see the stage of loading under My bookings menu.
        5. In case the delivery can not arrive to the reserved date you must make a cancellation request.
          Request for cancellation:You can use the button of cancellation request under the my bookings menu. In case this button has already disappeared you are requested to cancel your reservation via email or phone.
        6. I received a fatal error message during registration!It is because some details were not correctly provided during the reservation.this case you don't have a reservation.

    Time registration

    • It is possible to register a date for the day of delivery. (GID date)
    • Most important details are the correct registration number and the purchase order number.
    • Let's login with our Username and password!
    • Let's choose the "Time request Free appointment" menu item.
    • First you should provide the details implicitly for the time request.
    • It may occur that you shall not receive a date to the desired day.This happens because that the warehouse is either closed or it can not receive that amount of goods.
    • If you have only one registration number then please select "none" at the tow ensign. The field for the registration number should remain empty.

    • When you enter the characters of 9 numbers before the slash, the system will list the available lines for you. In this case you can choose what kind of line / lines of order you would like to pick up.
    • In case you would like to register more purchase order numbers please click on the following button: "Add another po number"
    • If you registered every purchase order numbers, please click on the "Next" button.
    • After you choose your desired date, please click on the
      "date rectangle".
    • You can inspect the stage of loading under "My bookings" menu.
    • If the hauler vehicle can not arrive to the reserved date then you must claim a cancellation request and fix a new appointment.
    • Our system shall display for you which company should you contact to in order to harmonize.A particular purchase order number can only be reserved by one company.
    • System shall send an e-mail notification to the given e-mail address about the fixed appointment. Furthermore you may inspect them under "My bookings" menu.
    • This e-mail should be printed and the driver should bring that along.
    • If you can not hand it to the driver, please send that in an e-mail message to us.
    • This way he or she can confirm that there's a reserved date and also that arrived in time.
    • This document must be handed to the staff of the Porter's lodge.
    • This answer e-mail message looks like this formally:
    • You can find some "tooltips" next to some lines. Taking the cursor over them we can get help to fill out that particular field.

    Priority shippings

    • Priority shippings are subject to previous agreements.
    • In order to make priority shippings the list of the next day shippings in xls-format must be sent.
    • Sending in data happens in an xls chart as an attachment of an e-mail.
    • The email address where the xls is to be sent is built the following way:
      • The xls must be sent to the email address which is given by the particular site.
      • . For the subject of the letter the own name of your company must be provided.
      • The columns of the excell chart are the following:
      • Shipment number, hauler ensign, - hauler plate number,tow ensign, tow plate number

    My bookings, Modifying details

    • You can inspect your you previous and actual reservations under "My bookings" menu item.
    • An "editing icon" appears immediately when loading is finished.
    • Any sipment's registration number can be modified any time shipment's. You can always save the line in which you click on the "save button".
    • Under "My bookings" menu item you can choose either from your actual day reservations or from the past reservations.
      Legend
      Under "Actual reservations" you can always see you your actual day loadings.
      Under "Past reservations" you can see you can see shipments which loading has already been finished. You can make modifications here as well.
      Editing data icon. Appears only when loading is finished.
      Viewing the detailed datasheet.
      It means: Arrived in time and the hauler vehicle is loaded.
      Vehicle arrived on the reserved day but it was late compared to the exact date.
      Vehicle did not appear on the reserved date.
      If you can not arrive to the reserved date you must claim a cancellation request. An admin shall cancel the date.
      If you do not want to have your date cancelled, here you can withdraw your request.

    Chat

    • You can use chat function to make communication easier. On the freighters' surface you can only communicate with the administrators of the warehouse.
    • You can switch on/off the message signal by clicking on the "loudspeaker" icon.
    • You can send messages inside the chat panel, furthermore you can send attached files up to the size of 2 Mb.
    • You can send message even to a user who is offline.
    • If the chat panel reopens after closing it that means that you have unread message. If you click into the message sending zone the unread message becomes read and the panel wouldn't pop up again.

    My details

    • You can modify your own details by clicking on your username.

    Contact

    • You can contact via e-mail with an associate who manages inbound at the warehouse. We can only answer to letters with appropriate e-mail addresses.

    Company details

    • Here you can read informations about the warehouse. This menu item also contains the availability of the contact persons.

    Correspondence

      Automatic correspondence: Our system shall send automatic letters in the following cases:
    • In case of successful registration.
    • In case of activation.
    • In every case of time registration. This letter must be printed out and handed to the driver. In every case of modifying the registration number. The letter must be printed out with the modified registration number and handed to the driver.
    • In every case of time cancellation.
    • contact form is the E-mail.
